The Outpatient Services Coordinator provides administrative and operational support for the outpatient clinic, which may include patient-facing activities, scheduling, documentation, and coordination with clinic
staff and leadership. This position ensures the smooth day-to-day operation of the clinic and supports administrative initiatives as needed.
Essential Functions:
- Performs a wide variety of administrative and operational duties as required for the daily operation of the outpatient facility, which may include patient-facing activities.
- Facilitates communication between the Director of Outpatient Services, clinic staff, and key management personnel.
- Supports routine administrative projects and initiatives for the Director of Outpatient Services, including research and analysis as needed.
- Provides follow-up on assignments given to staff by the Director of Outpatient Services or facility leadership.
- Performs specialized and complex administrative work requiring the use of independent judgment.
- Completes assignments accurately, in a timely manner, and within established procedural guidelines.
- Contributes to Performance Improvement initiatives as requested.
- Performs other related duties as assigned, which may include operational or patient-facing responsibilities.
Educational/Experience Requirements:
- High school diploma or equivalent required. Bachelor’s degree in behavioral health, business administration, or related field preferred.
- Minimum of 1–2 years of office-based administrative experience, preferably in a healthcare or outpatient clinic setting.
- Knowledge of healthcare operations, insurance verification, or medical terminology preferred.
Qualifications/Skills:
- Strong verbal and written skills.
- Must be well organized, flexible, and responsible.
- Must be able to communicate knowledge in an educational arena.
- Must be proficient in Microsoft Office products.
- Must be able to work tactfully and cooperatively with a variety of internal and external customers.
- Demonstrates age specific and cultural sensitivity towards internal and external customers.
- Organizes own work, coordinating projects, setting priorities, meeting deadlines, and following up on assignments with a minimum of direction.
- Demonstrates working knowledge of the organization’s departmental procedures.
- Must successfully complete Basic Life Saving (BLS) certification and an Oceans approved behavioral health de-escalation program.
Work Enviroment:
Subject to many interruptions. Occasional pressure due to multiple calls and inquiries. This position can be high paced and stressful; must be able to cope mentally and physically to atmosphere. Work requires spending approximately 90% or more of the time inside a building that offers protection from weather conditions but not necessarily from temperature changes.
